The real cost of a UK meeting: employer NI and pension included
The salary on a payslip is not what an employee costs the company. In the UK, the employer bears additional costs on top of gross salary. From April 2025, the employer National Insurance rate rose to 15% (from 13.8%) and the secondary threshold dropped to GBP 5,000, the largest NI increase in decades. Additionally, auto-enrolment pension minimum contribution is 3% of qualifying earnings. Office overhead, equipment, and HR costs add further.

For a typical salaried employee in the UK, the fully-loaded hourly cost is approximately 1.28x-1.38x the gross hourly rate, and higher in London where office costs are elevated.
Meeting culture in the UK: the data
A 2022 Microsoft Work Trend Index found that the average UK knowledge worker attends around 2.5 hours of meetings per day. Research by Atlassian found that unnecessary meetings cost UK businesses an estimated GBP 190 billion per year in lost productivity. Around 68% of workers say they do not have enough uninterrupted focus time. The same research found that 47% of workers consider meetings the top time-waster at work.
The Jeff Bezos "two-pizza rule" and written narratives
Amazon's meeting culture, established by Jeff Bezos, bans PowerPoint presentations. Instead, attendees write a 6-page narrative memo in advance, and the first 15-20 minutes of every meeting are spent reading it in silence. Only then does discussion begin. The "two-pizza rule" limits meeting size: if you need more than two pizzas to feed the attendees, the meeting is too large. A number of UK tech companies and consulting firms have adopted variations of this approach.
Reducing meeting costs
- Async first: written updates, Loom recordings, or Notion docs instead of status meetings
- Cut the list: every unnecessary attendee raises the cost, only decision-makers need to attend
- Time-box strictly: 25-minute and 50-minute meetings (Pomodoro-aware) leave buffer before the next one
- No agenda, no meeting: require a written agenda shared 24 hours in advance; cancel if not received
